Exports Overview

The Exports page in Xada provides visibility and control over how your product data is sent to your storefront or CRM.

This is the final stage of Xada’s automated workflow, where processed product data, after imports and rules, gets synchronised to your website.

What the Exports Page Shows

The Exports page allows you to monitor all export activity.

For each export, you can view:

  • Status (e.g. Processing, Completed, Validating, Cancelled)
  • Progress of the export
  • Date and time
  • Number of products processed
  • Actions (e.g. View details)

This gives you full visibility into what data has been pushed to your storefront.

How Exports Fit Into the Xada Workflow

Exports are the final step in Xada’s automated pipeline:

  1. Import
    • Product data is received from supplier feeds or CSV uploads
  2. Rules Execution
    • Pricing, categorisation, activation, and other logic are applied
  3. Export
    • Finalised product data is sent to your storefront

This ensures your website stays up to date without manual intervention.

Export Statuses Explained

Processing

The export is currently running and sending data to the storefront.

Completed

All eligible products have been successfully exported.

Note:

If the progress is less than 100%, it usually means some products were not eligible for export (e.g. missing pricing or required data).

Validating

The export is on hold due to significant changes, such as:

  • Large product deletions
  • Category removals
  • Brand removals

Manual confirmation is required before the export can proceed.

Cancelled

The export was automatically cancelled.

This typically happens when:

  • An export remains in Validating
  • A new scheduled export starts before it is confirmed

Failed

An error occurred during the export process.

Reviewing Export Details

Click View on an export to access:

  • Summary of processed products
  • Number of successful vs skipped items
  • Any warnings or issues
  • Details about deletions or validation requirements

This is useful for troubleshooting and verifying changes.

Automatic vs Manual Exports

Automatic Exports

  • Run on a scheduled basis
  • Keep your storefront in sync continuously

Manual Exports

  • Can be triggered when immediate updates are required
  • Useful after making changes or testing rules

Export Eligibility Requirements

For a product to be successfully exported to your storefront, it must meet all of the following conditions:

  • Product must be active
  • Supplier must be active
  • Product must have at least one active price

Additional requirement for supplier-fed products:

  • If the product originates from a supplier data feed (e.g. Promodata), it must have a markup applied to its pricing

This acts as a safeguard to ensure that products are never published using raw supplier cost prices.

Important:

  • This markup requirement only applies to supplier-fed products
  • Products created manually within Xada are not subject to this restriction

If any of the above conditions are not met, the product will be skipped during export.

Best Practices

  • Monitor exports regularly to ensure successful syncs
  • Review Validating exports promptly to avoid cancellations
  • Check skipped products for missing data
  • Use rules to ensure products meet export requirements
  • Run manual exports after significant updates if needed
